DealerOS software is operated by NXT LVL Title Services. Existing service contracts and financial records retain their authorized legal issuer.
This policy explains how DealerOS (“DealerOS”, “we”, “us”) handles information collected through this website, including the Get Started and Contact forms, and through the DealerOS dealer portal.
Information we collect
- Information you submit on our forms: your name, dealership or company name, email address, phone number, state, estimated monthly title volume, the services you’re interested in, and any message you include.
- Technical information: the IP address a form was submitted from, used to prevent spam and abuse.
- Dealer portal information: account details and the transaction, vehicle, buyer, and document information dealerships submit for title processing.
How we use it
- To respond to your inquiry and prepare pricing for your dealership.
- To provide title processing, document management, tracking, and billing services.
- To send service messages such as confirmations, status updates, and invoices.
- To protect our website and customers from spam, fraud, and abuse.
We do not sell your personal information, and we do not use advertising or cross-site tracking cookies.
Service providers
We share information only with providers that help us run our business, under their own security and privacy commitments. These include our hosting and database providers, our customer relationship manager (HubSpot), where website inquiries are recorded so our team can follow up, our email delivery provider, and our payment processor (Stripe), which handles card and bank payments in the dealer portal. We may also disclose information to government title and registration agencies as needed to process a title, or when required by law.
Cookies and local storage
The public website does not set tracking cookies. When you sign in to the dealer portal, we use a secure session cookie to keep you signed in, and your browser may store display preferences such as light or dark mode.
Retention and security
We keep inquiry information for as long as needed to respond and maintain our business records, and transaction records for as long as required for title processing, accounting, and legal obligations. Data is encrypted in transit, access is limited to authorized staff, and account activity is audited.
Your choices
You can ask us to access, correct, or delete the information you submitted through our website by contacting us below. We will respond within a reasonable time, subject to records we are required to keep.
